Custom Fields and Captured Notes
Custom fields are the things you want to know about every organization you talk to — which competitor they use, their tech stack, team size, buying timeline. You define the fields once, and Funnelfeedr fills them in automatically from call transcripts and other content. Linked CRM fields stay in sync, so the values also land on the record in your CRM.
Custom fields live under Settings → Playbooks → Custom Fields.
1. Add a field
Click Add field and fill in:
- Name — what the field is called.
- Description — what should go in it. Write this for the AI as much as for your team: it is the instruction the extraction follows.
- Type — one of:

For Single choice and Multiple choices, add the allowed values under Options — type them comma-separated and press Enter. Remove one by clicking the × on its chip.
Click Create to save.
2. Turn on auto-extraction
Each field has two toggles:
- Active — whether the field is in use at all.
- Auto-extract — lets the AI fill the field in from call transcripts and other content.
Auto-extraction requires a Conversational Intelligence seat. Without one, you can still define fields and fill them in manually; the page tells you and links to seat management.
3. Link a field to your CRM
If you have a CRM connected, a captured value can be written straight onto the record there.
Creating a field from a CRM field: when you click Add field, switch from Manual to From CRM field and pick the field in your CRM. Funnelfeedr fills in the name and picks a matching type.
Linking an existing field: click the link icon on the field's row.
In the link dialog you can:
- Pick the CRM and the field to link to.
- Toggle Overwrite existing CRM values — off, a value already in your CRM is left alone; on, Funnelfeedr overwrites it.
- Use the Create ... in ... button if the field does not exist in your CRM yet — Funnelfeedr creates it there for you.
- Unlink to break an existing link. The Funnelfeedr field and its values stay.
Linked fields show a chip on the row with the CRM name and the CRM field name.
4. Notes and insights
Below the fields is the Notes & Insights section, for the things that do not fit a structured field.
- Automatically capture relevant information — when on, Funnelfeedr records anything noteworthy it hears about an organization, without you specifying what to look for.
- Prompts — a named question you want answered after every conversation. Click Add prompt, give it a Name and a Prompt ("What is holding this deal up?"), and toggle it active. Each active prompt is run and the answer is stored on the organization.
5. Edit or delete a field
Click the pencil icon to edit a field, or the bin icon to delete it. Deleting a field also removes every captured value for it — the confirmation dialog says so. Set a field to Inactive instead if you only want to stop collecting it.
Tips
- Write the Description as an instruction, not a label. "Which CRM the company uses today, if they name one" extracts far better than "CRM".
- Prefer Single choice over Text wherever a fixed set of answers exists. It is the difference between a field you can filter on and a field you can only read.
- Leave Overwrite existing CRM values off when you first link a field, check what lands in your CRM for a week, then decide.
- Start with three or four fields. Every extra field is another thing the AI has to look for on every call.
