Create an Email Template

This guide explains how to create and manage email templates in Funnelfeedr. Templates let you build reusable emails with dynamic merge tags, rich formatting, and AI-powered personalization.


1. Open Templates

  1. Go to Email → Templates in the left sidebar.
  2. You will see a list of your existing templates with their name, subject, and creation date.

2. Create a New Template

  1. Click the New Template button.
  2. Fill in the following fields:
  • Name — an internal name for the template (e.g. "Initial Outreach", "Follow-up #1")
  • Subject — the email subject line. Supports merge tags and Smart Tags for personalization.
  • Body — the email body. Supports full rich text formatting, images, and merge tags.

3. Formatting the Body

The body editor supports:

  • Bold, Italic, and Underline
  • Bullet lists and numbered lists
  • Hyperlinks — highlight text and click the link icon to add a URL
  • Images — click the image icon to upload an image, or paste/drag an image directly into the editor

4. Add Merge Tags

Merge tags insert dynamic content that is replaced with real values when the email is sent. Click the merge tag button in the toolbar to insert any of the following:

Merge tags appear as colored pills in the editor. To remove one, click the x on the pill.


5. Configurable Merge Tags

Some merge tags open a configuration dialog when inserted:

Meeting Slots

Inserts your available meeting times directly into the email. Configure:

  • Scheduling page — which meeting booking page to use
  • Language — the locale for date formatting (13 languages supported)
  • Number of slots — show 1, 2, or 3 time slots
  • Format — customize how dates are displayed
  • Separators — text between slots (e.g. ", " and " or ")
  • Fallback link — optional link text if no slots are available

A live preview shows how the slots will appear.

Book Meeting

Inserts a clickable link for recipients to book a meeting with you. Configure:

  • Scheduling page — which meeting booking page to use
  • Link text — the text displayed for the link

Smart Tag

Uses AI to generate personalized text for each recipient. Configure:

  • Prompt — instructions for the AI (e.g. "Write a compliment about their company")
  • Examples — example outputs to guide the AI's tone and style
  • Failure mode — what to do if AI generation fails: skip the sentence or use fallback text
  • Data sources — choose whether to include web search results and/or website scraping for more context

Smart Tags can be used in both the subject line and the body.


6. Preview

A live preview panel is displayed below the editor, showing how your email will look with example values filled in for all merge tags.


7. Test Send

Once you have saved your template, you can send a test email:

  1. Click the Test Send button.
  2. Select which team member should receive the test email.
  3. Optionally select an organization and contact to populate merge tags with real data.
  4. Click Send.

8. Edit or Delete a Template

  • To edit a template, click on it in the template list.
  • To delete a template, open it and use the delete action.
